PURPOSE: To coordinate hospitality needs at various events throughout the year

DUTIES AND RESPONSIBILITIES

Identify volunteer needs

✦ Decide Theme
✦ Purchase decorations if necessary
✦ Decorate venue
✦ Order/manage food/beverage needs
✦ Communicate volunteer needs with communications coordinator

✦ Work with other committees when necessary

Hospitality Committee

 

Chair - Lucy Sanfilippo

 

PURPOSE: This committee is in charge of communication activities, including the Doerre Orchestra website, flyers, invitations, concert programs, signs, photography, video, Doerre yearbook, etc.

Media Committee

 

Chair - Krisztina Moctezuma

 

DUTIES AND RESPONSIBILITIES

✦ Take photos/videos at various events
✦ Recruit parents to take photos/video at various events
✦ Updating/preparing programs, flyers, etc.
✦ Maintaining current website information
✦ Designing necessary media needs
✦ Provide photos to Administration and/or PTO Memory Book Coordinator

Performance Committee

 

Chair -

PURPOSE: To assist the Directors with a checklist of needs for in-school and off-campus concerts

DUTIES AND RESPONSIBILITIES

✦ Communicate to/work with Media Committee to prep, print and distribute programs, "reserve" signage, invitations, and coordinate photography and video

✦ Communicate to/work with the Hospitality Committee for hospitality needs
✦ Request, coordinate, and communicate with necessary chaperones

✦ Verify chaperon's driver’s license and insurance, if driving

✦ Coordinate location, arrival, duration, dismissal, attire, responsibilities
✦ Instrument transportation

Social Events Committee

 

Chair - 

 

PURPOSE: Work with the Directors to coordinate details associated with off-campus social events outside of school hours at various locations

DUTIES AND RESPONSIBILITIES

✦ Identify events to coordinate
✦ Determine amount of chaperones for each event, communicate/confirm, coordiante chaperons
✦ Coordinate with Media Committee
✦ Distribute appropriate forms to students and parents in a timely manner
✦ Collect permission slips and funds required

 

PURPOSE: To lead Orchestra parents in efforts that attract money and services needed to carry out the mission of the Orchestra. This committee may be divided into sub-committees that work together to achieve this goal.

DUTIES AND RESPONSIBILITIES

✦ Work with the Directors to define the short-term and long-term funding needs of the Orchestra

✦ Plan funding activities for the full Orchestra
✦ Work with vendor representatives when necessary

✦ Review the funding plan to ensure progress toward annual and long-range funding goals.

✦ Identify and recruit parents of Orchestra students to serve on fundraising committees.

✦ Encourage the participation of the full Orchestra in fundraising.

Fundraising Committee

 

Chair - Lisa Montalbano

 

PURPOSE: Work with Directors to ensure that all students are properly fitted with the appropriate attire for the appropriate group

DUTIES AND RESPONSIBILITIES

✦ Measure students to be fitted, noting necessary information.

✦ Communicate to the Directors any new item needs.
✦ Transport items requiring alterations to/from the tailor.
✦ Organize items to be distributed to the students.

✦ After the Spring Concert, collect items, noting any tailor needs.

✦ Transport items to/from dry cleaner.
✦ Organize items and store for the Summer.
✦ Identify and recruit parents to assist with responsibilities.

✦ Identify and “train” a parent to continue this responsibility.
